Project Overview
The Medical, Legal, and Regulatory (MLR) Review is a critical process in healthcare marketing, ensuring that advertising and promotional content is accurate, compliant, and ready for publication. In industries like pharmaceuticals, biotech, and life sciences, misinformation can lead to severe consequences, including patient harm, financial penalties, and reputational damage. Traditionally, MLR reviews have been conducted through manual processes such as emails and spreadsheets, leading to inefficiencies, errors, and delays. This project aims to develop an automated MLR review tool to enhance accuracy, reduce costs, streamline workflows, and accelerate the release of healthcare products to market.
Problem Description
The traditional MLR review process is inefficient, error-prone, and costly, posing significant risks to pharmaceutical, biotech, and life sciences companies.
Why do we need MLR?
In the last 20 years, pharmaceutical, biotech, and life science companies have shelled out over $12 billion to settle lawsuits. One major cause of these fines is inaccurate marketing and product labels and these companies have been transitioning from paper-based MLR reviews to email, spreadsheets. But it’s far from perfect. Hence, there was a need to have an automated tool which will reduce the effort, cost, glitches and bring in efficiency and faster release of a drug to market.
Problem Statement
HMW design an automated MLR review solution that reduces compliance risks, costs, and workflow inefficiencies—building on in-depth domain research, competitor insights, and user needs—to streamline drug marketing and ensure faster time-to-market?
Research
To build an effective automated MLR review tool, we followed a structured research process, ensuring a deep understanding of the domain, competitive landscape, and user needs.
1. Domain Exploration & Competitor Analysis
We began by thoroughly understanding the Medical, Legal, and Regulatory (MLR) Review process, its challenges, and its impact on healthcare marketing. As part of our competitive analysis, we explored existing solutions in the industry, particularly the Veeva Vault PromoMats tool, which is widely used for MLR content management. This analysis helped us identify:
• Key features offered by Veeva and other platforms.
• Gaps in existing solutions that our tool could address.
• User pain points with current MLR software, such as workflow inefficiencies and compliance challenges.
Ideation (Design Thinking Sessions and Wireframes)
After identifying the gaps and opportunities, we focused on brainstorming innovative solutions. We conducted Design Thinking Workshops with key stakeholders, including the product team and internal SMEs (Subject Matter Experts), to gain deeper insights into real-world challenges and expectations.
Key Areas of Exploration During Workshops:
1. Common MLR Problems Today – Identifying bottlenecks in the current review process, including compliance risks, approval delays, and inefficiencies in document tracking.
2. Workflows & Pain Points – Understanding how teams navigate MLR reviews, where they experience friction, and what aspects slow down approvals.
3. Possible Approaches & Solutions – Exploring automation, AI-powered compliance checks, and workflow optimizations to streamline the review process.
This collaborative and iterative research approach enabled us to shape a solution tailored to the industry’s needs, ensuring accuracy, efficiency, and scalability.
Solution
Through our research and analysis, we targeted solutions across four core modules:
Results
Implementing these solutions significantly streamlined the MLR review process, reducing manual effort, minimizing compliance risks, and accelerating approvals. Automated claim validation and ISI management improved accuracy and regulatory adherence, while AI-driven proofreading and content comparison tools enhanced efficiency and consistency across documents. As a result, review cycles were shortened by over 40%, reducing time-to-market for pharmaceutical and biotech products. Additionally, the centralized system improved collaboration between teams, ensuring seamless tracking of claims, safety information, and content updates. This transformation not only mitigated financial and legal risks but also reinforced brand credibility and patient safety.
